Registered Electronic Mail

Registered email is a type of email communication used to certify delivery to recipients. It secures legal evidence of the transmission process — including the time of sending, the delivery time, and proof of the original contents and attachments.

It is the online equivalent of “old-school” registered mail, with the same legal probative value, giving you peace of mind whenever you communicate with third parties.

The Basics

What is Registered Email?

Registered email is a type of email communication used to certify delivery to recipients. It secures legal evidence of the transmission process — including time of sending, delivery time, and proof of the original contents and attachments.

Registered email is considered the online equivalent of “old-school” registered mail, and it offers the same legal probative value.

Compared to regular email, registered email has greater probative value and legal validity in a court of law, since it proves by itself the act of notifying and the delivery to the recipients, with solid and irrefutable electronic evidence. Regular emails sent with a read receipt do not stand as legal evidence.

In summary, registered email provides you with peace of mind when you communicate with third parties in any situation — unlike conventional email, which is often disputed as reliable evidence and cannot be properly tracked or utilised if required.

The Process

How does Registered Email work?

As with any type of communication, there is a sender — the one who sends the email — and one or several recipients who receive it. When sending a registered email, a trusted third party is involved in delivering it.

1. You send

A sender composes and sends the registered email to one or several recipients through the portal.

2. NDS registers & delivers

NamPost Digital Solutions (NDS) registers the email and its contents, delivers it to the recipients, and secures legal proof of the whole process — protecting the data against loss, theft, damage or unauthorised alteration.

3. Return Receipt

Once delivered, a PDF Return Receipt is issued as probatory evidence — with legal certainty — proving who sent what, to whom, and when, and verifying the authenticity and integrity of your message.
